As event professionals, our goal is to produce a flawless and memorable event for our client. We go over every little detail, crossing our T’s and dotting our I’s. However, even the longest checklists cannot prepare us for unforeseen circumstances.
We may have to resort to Plan B or even Plan C.
Read on and see how Daniela Grafman, a Wedding & Special Events Coordinator of Vision Event Co. and ISES New Jersey North Director of Membership, handled what could have been an disaster but is now a wedding no one will ever forget.
It was a beautiful May day in Sandy Hook, New Jersey where Daniela and team were preparing for and outdoor wedding ceremony by the water and a reception to follow in a tent. A rain shower was in the forecast but for later that evening after the couple said “I Do” and the guests would be dancing the night away.
What was supposed to be a little shower, turned into a major storm.
Halfway through the reception, Daniela was approached by the Park Rangers about the impeding storm. It was turning into a Level Red alert within the hour. Daniela and team had to think quickly on their feet and figure out a way to handle the situation. The safety of the guests was everyone’s first priority. The only options were to end the wedding early or move everyone indoors to a chapel where nothing was set up, not even a chair.
The decision was made to move the party into the chapel. An extra speaker was set up in the chapel and played music from an iPod until the DJ was able to set up his mixer inside which was set up on a chair. A few of the wireless LED lights were set up to keep the fun vibe going. The wait staff moved all the chairs inside and created a makeshift bar out of tables. The party picked up right where it left off and the Bride and Groom danced the night away safely with their guests. Without Daniela and team putting a plan in action, so much could’ve went wrong.
No matter how much we plan and assure everything is set, one thing we cannot control is Mother Nature. It is imperative to always stay calm and professional in any situation that may arise.
